POP Players Privacy Policy
Effective 8 October 2026. This policy explains how Phrased handles personal information when you use POP Players.
1. About POP Players
POP Players is operated by Phrased in Western Australia. It is an information and community companion for members of in-person poker clubs that use the Poker Operations Platform (POP). It shows club schedules, waitlists, tournament clocks, results, rankings, trophies, and profiles. It does not offer a playable card game, process wagers, or take deposits, entry fees, or gambling payments.
The clubs you link to are separate organisations. They may keep their own player and venue records. This policy covers the POP Players app and Phrased's shared services; a club's own privacy practices are governed by that club.
2. Information we collect
Account and profile information
- Email address and authentication information.
- Date of birth, used to confirm that you meet the age requirement.
- First and last name, chosen handle, and profile visibility settings.
- An optional profile image and other profile details you choose to provide.
Passwords are handled by our authentication provider. We do not see or store your password in plain text.
League links and app activity
- The clubs you link to and the club player record connected to you.
- Details you submit to verify or create a club link, such as your name, email address, or phone number.
- Waitlists you join or leave and your current seating or session status.
- Private notes and colour tags you choose to save about players.
- Profiles you block, reports you submit, Community Standards acceptances, and moderation actions affecting your profile.
- A push-notification token, device platform, enabled alert categories, and your tournament-notification choice for each linked league.
- Basic technical and security records needed to operate and protect the service.
Information supplied by clubs
Clubs may publish event schedules, venue information, live tournament clocks, results, rankings, prize records, trophies, and titles. Some of that information may be associated with your account after you link to a club.
Device features you choose to use
If you add an avatar, the app asks you to choose an image from your photo library. If you tap “Add to Calendar”, iOS presents the event to your calendar. These features are only used when you initiate them. Session credentials are stored using secure device storage.
POP Players does not collect payment card or bank details, precise device location, contacts, microphone recordings, or advertising identifiers. It does not use your information for cross-app tracking or personalised advertising.
3. How we use information
- Create, authenticate, and protect your account.
- Provide profiles, league links, events, waitlists, live status, results, rankings, and trophies.
- Apply the privacy and display choices you make in the app.
- Review reports, enforce our Community Standards, prevent abuse, and protect users.
- Send operational notifications you enable, such as a cash-seat alert or a tournament update from a linked league.
- Respond to support, privacy, and account-deletion requests.
- Maintain, troubleshoot, secure, and improve POP Players.
- Meet legal obligations and enforce our terms.
We do not sell your personal information.
4. When information is shared
We may share information with:
- Service providers that supply hosting, database, authentication, storage, and other technical infrastructure. They may process information only to provide those services to us.
- Clubs you choose to link to, where information is needed to verify your membership, create or match a player record, or provide a venue feature such as a waitlist.
- Other app users, according to your visibility settings and the information a club publishes. Private player notes and tags are not shown to the player they describe or to other users.
- Authorities or other parties where disclosure is required by law or reasonably necessary to protect people, the service, or our legal rights.
5. Storage, security, and overseas processing
POP Players uses cloud infrastructure, including Supabase for authentication, databases, and file storage, and Expo's notification service to deliver enabled push alerts. Information may be processed in Australia, the United States, Singapore, and other locations where our providers or their subprocessors operate. We use reasonable technical and organisational safeguards, including encrypted network connections and secure device storage, but no online service can guarantee absolute security.
6. Retention and account deletion
We keep account information while your account is active and for as long as reasonably needed to provide the service, resolve disputes, maintain security, or meet legal obligations.
You can permanently delete your account in the app from Profile → Delete account. This deletes your POP Players account, Hub profile, league links, avatar, private notes, community achievements, reports, blocks, policy acceptances, and app-managed moderation records associated with the account. Historical tournament results may remain as anonymous league history. A club's separate customer or event records are controlled by that club and are not deleted by removing your POP Players account.
If you cannot access the app, use our account-deletion request page.
7. Your choices and rights
You can:
- Update your profile details and visibility settings in the app.
- Remove your avatar or unlink a club.
- Report or block a public profile and later manage your blocked-profile list.
- Turn tournament notifications on or off separately for each linked league, and manage cash-seat alerts for the current device.
- Ask us for access to, correction of, or deletion of information we control.
- Contact a linked club about records that club controls.
Send privacy requests to ryan@phrased.com.au. We may need to verify your identity before acting on a request.
8. Privacy complaints
To make a privacy complaint, email ryan@phrased.com.au with the subject “POP Players privacy complaint”. Describe what happened and the outcome you are seeking. We will acknowledge the complaint, investigate it, and aim to respond within 30 days. If you are not satisfied after giving us a reasonable opportunity to respond, you may contact the Office of the Australian Information Commissioner.
9. Age requirement
POP Players is intended for adults aged 18 and over. The app uses a date-of-birth age gate during registration. If you believe someone under 18 has created an account, contact us so we can investigate and take appropriate action.
10. Changes to this policy
We may update this policy as POP Players changes. We will revise the effective date above and provide additional notice in the app or by email when a change is material.
